The Statistics area is accessible via the icon in the middle of the left-hand navigator of the Archive Portal administration module. It contains statistics on access to Sites as well as those relating to User connections. The area is divided into 3 tabs :
- All Sites : Activity of all Sites hosted by the Archive Portal.
- Inactive Sites : List of Sites no longer active.
- Inactive Users : List of Users no longer logging into the Archive Portal.
All Sites Tab
The All Sites tab displays all sites hosted by the Archive Portal. The right side of the screen displays statistics for each site over the past 3 rolling years :
- Users : Number of unique users who accessed the Site during the year.
- Events : Total number of accesses over the year.
By clicking in the right columns (Years, Months, Days), you can access the details of the period (clicking on a year will display the list of months of the year, clicking on a month displays the days of the month...). You can go back (from day to month, from month to year...) by clicking on the left column :
The highest level of detail for a Site's statistics is at the day level :
- Users : Number of users (unique) who accessed the site during the day.
- Access : Number of accesses to site elements (site opening, views, etc.) during the day.
- Document : Number of documents read during the day.
- Attach : Number of attached files downloaded during the day.
- Search : Number of searches carried out during the day.
- PDF : Number of document conversions to PDF per day.
- EML : Number of document conversions to EMF (Open in Outlook) during the day.
If you click on a site name (1st column), the main screen then displays the list of Users who have accessed this site during the selected period (Year, Month, Day). The right part displays the total number of accesses during the period :
In the center of the page, you have a list of filters to limit the number of sites or users displayed or to change the period :
By clicking on the name of a user or site
, it becomes a member of the filter. You can remove this filter by clicking on the cross
to the right of the filter.
Inactive Sites Tab
The Inactive Sites tab displays all Archive Portal Sites that have not been accessed for a certain period of time. This tab is used to clean up the Portal Sites list, to remove inactive hosted Sites and thus reduce the Portal license fee.
The right side of the screen displays the statistics for each site over the last 3 rolling years :
- Number of unique users who accessed the Site during the year.
- Total number of accesses over the year.
You can select the period of inactivity of the Sites via the drop-down menu in the middle of the page :
You can disable sites from the Archive Portal by selecting the documents and pressing the button . After restarting the Archive Portal engine (CTServer.exe), the selected sites will be set to Offline status and will no longer be accessible to users. Permanently deleting sites from the Archive Portal is done by clicking the button
on the All tab of the Sites area.
Inactive Users Tab
The Inactive Users tab displays all Archive Portal Users who have not logged in for a certain period of time. This tab is used to clean up the Portal Users list, removing access to inactive users and thus reducing the Portal license fee.
The right side of the screen displays each user's statistics over the last 3 rolling years :
- Number of unique sites visited during the year.
- Total number of accesses over the year.
You can select the period of inactivity for users via the drop-down menu in the middle of the page :
You can remove inactive users from the Archive Portal by selecting the documents and pressing the button . After restarting the Archive Portal engine (CTServer.exe), the users' entries will have been removed from the Access.xml file and they will no longer be able to log in.
